GENERAL DESCRIPTION 

The Administrative Assistant is responsible for reception and clerical support duties at the George Gordon Health Centre. The Administrative Assistant will provide customer service to the George Gordon First Nation Community Band members, employees and public.

Duties & Responsibilities:

  • Answers phones and direct calls to appropriate program personnel.
  • Records messages accurately and direct to appropriate staff in a timely manner.
  • Records and distribute incoming faxes in a timely manner.
  • Monitors message manager and forward messages to appropriate staff.
  • Greeting the public and direct to appropriate programs
  • Keeps the reception area neat and orderly.
  • Responds to public inquiries and requests for services, by providing accurate information in a timely manner
  • Records, orders and maintain office supplies by approved purchase orders
  • Provides clerical support to program staff.
  • Monitors and maintains photocopier machine
  • Schedule appointments as required by program staff or visiting health professionals.
  • Maintains Health Department vehicles through booking and sign out process, monitoring vehicle logbooks
  • Ensure only designated persons sign out and drive vehicles.
  • Provides notification of meetings to staff and health committee.
  • Maintains staff sign-in book, whiteboard, and knowledgeable of staff whereabouts.
    • Arrange for bookings of facilities, including but not limited to the health boardroom.
  • Records, date stamp and distributes incoming and outgoing correspondence
  • Develops and maintains filing system
  • Any other related duties that may be assigned

Qualifications

  • Diploma or certificate in Office Administration
  • Previous work experience in administration
  • Strong computer skills
  • Adhere to George Gordon personnel policy & Code of Ethics
  • Excellent written and interpersonal communication skills
  • Adhere to strict confidentiality, pertaining to George Gordon community membership, clients, and employees
  • To work independently or as part of a team
  • To meet deadlines.
